Key Responsibilities:

Administrative Support:

Assist in the day-to-day administrative tasks and provide support to office staff as needed.

Prepare and maintain office documents, including reports, presentations, and spreadsheets.

Help manage office schedules, appointments, and meetings.

Coordinate and arrange meetings, conferences, and travel arrangements for staff or executives.

Handle incoming and outgoing mail and packages, ensuring timely delivery and receipt.

Receptionist Duties:

Greet visitors and clients, providing them with the necessary information and directing them to the appropriate departments.

Answer phone calls, respond to queries, and forward calls to the relevant personnel.

Maintain a professional and friendly office environment through excellent customer service.

Office Supplies and Inventory Management:

Monitor and maintain inventory of office supplies (stationery, printer paper, etc.).

Place orders for new supplies and ensure they are stocked in the office.

Ensure that office equipment (printers, photocopiers, etc.) is functioning properly and arrange for maintenance or repairs when needed.

Record Keeping and Filing:

Organize and maintain filing systems, both physical and electronic.

Ensure that all records are up to date, accurate, and easily accessible.

Manage confidential and sensitive documents with the highest level of discretion.

Data Entry and Database Management:

Input data into various systems and databases, ensuring accuracy and completeness.

Assist in organizing data for reports, presentations, and analysis.

Maintain electronic and hard-copy records and perform periodic audits to ensure data accuracy.

Supporting Office Projects:

Assist with special office projects, events, or initiatives as directed by the supervisor.

Provide clerical support for HR-related tasks such as employee record management, recruitment support, and onboarding.

Collaborate with team members to ensure that office projects are completed efficiently and on time.

Maintain Office Cleanliness and Organization:

Help maintain the cleanliness and organization of the office space, ensuring common areas are tidy and functional.

Assist with setting up conference rooms for meetings or events and clearing them afterward.

Communication:

Handle basic communication with internal teams, clients, and external vendors via email, phone, or in-person.

Prepare and send out company-wide communication, memos, and newsletters.
