1. Local Order:➢ Creating Customer’s in Microsoft AX as per details provide Sales Manager (request if any details are not complete)➢ Checking & Processing orders in the Microsoft AX for XAL IN, XAL AT and W&D as per the customer’s PO.➢ Processing the order for packing once its ready.➢ Informing customer about payments and payment follow-up as per instructions from recovery section➢ Informing customer about packing details and getting order dispatched with necessary documents as required.➢ Communicating dispatch details to Customer and Sales Managers➢ Acting as coordinator for communication in between the customer/sales managers and XAL IN, XAL AT and W&D.➢ Preparing Necessary Documents (GST Invoice, E-way bills, and other necessary documents).➢ Preparing MIS reports of local order and other if necessary as per order requirement.➢ Co-ordination with Finance team for invoice’s (if any discrepancy) and provide/ request customer Ledger’s as per customer2. Export Shipment.➢ Checking the Quantity as per requirement and inform production if any problems➢ Entering and checking the necessary information in system for export.➢ Preparing Export invoices and Export documentation.➢ Co-ordination with forwarder for shipment pick up.➢ Checking vehicle condition and informing forwarder and consignee accordingly.➢ Communication dispatch details to export customers with necessary documents.➢ Checking the pre-shipment documents as per export documents➢ Follow ups with forwarder for Post Shipment Documents of export shipments.3. Import Shipments.➢ Requesting Quotations from Forwarder and selecting the forwarder with better rates and transit time as per shipment requirements provided by Purchase department, Production Department or any other.➢ Informing the buyer for the forwarder appointed for pickup.➢ Providing the necessary information and documents to forwarder for pickup.➢ Follow with forwarder for status of the shipment (Pickup Status, Flight Schedule, Arrival Status, etc.)➢ Preparing & Providing the necessary documents to CHA for Custom Clearance of Material before Arrival of the shipment.➢ Checking the post shipment documents.➢ Follow up with CHA for Custom Clearance of material and provide necessary documents if any issue.➢ Informing the arrival of material to warehouse with documents.➢ Preparing MIS report for shipment tracking and sharing the same.➢ Follow up with CHA and Forwarder for Post shipment documents.➢ Checking Bills of Forwarder and CHA as per agreed contract, and handover the same to Finance Team.➢ Providing the necessary documents to Finance team if there is any requirement.➢ Follow up with Finance Team for the outstanding payments of Forwarder and CHA.➢ Checking Balance for MEIS License’s balance and if less, then necessary actions need to be taken.
