Job Description

1) Coordinate business processes and follow ups. 
2) Maintain documentation and assist with reporting.
3) Data entry, generate reports and ensure accurate process tracking.
4) Work with teams to resolve issues and expedite pending work

Key Responsibilities:

1. Coordinate Business Processes:

  • Coordinate the flow of day-to-day operations by ensuring that all processes are executed as per predefined workflows.

  • Ensure that business processes are followed accurately and that tasks are completed on time.

  • Facilitate communication between various departments to ensure that processes are aligned across teams.

  • Track the progress of tasks and escalate issues or delays to the appropriate team members for resolution.

2. Documentation Management:

  • Maintain accurate and up-to-date documentation for all business processes, procedures, and guidelines.

  • Ensure that all required forms, templates, and records are stored properly for easy access by relevant teams.

  • Organize and file both electronic and paper-based documents, ensuring they are readily accessible when needed.

3. Data Entry and Management:

  • Input data into internal systems and databases to ensure accurate records of business operations.

  • Monitor data for accuracy and completeness and address any discrepancies immediately.

  • Ensure that all necessary information is captured in the appropriate systems to maintain process integrity.

4. Reporting and Analysis:

  • Generate regular and ad-hoc reports related to business processes, performance metrics, and operational outcomes.

  • Assist in preparing reports for management, including progress updates, issues, and recommendations for process improvement.

  • Track KPIs (Key Performance Indicators) and provide insights into process performance to assist in decision-making.

  • Analyze trends and identify areas where processes can be optimized or improved.

5. Follow-Ups and Issue Resolution:

  • Conduct follow-ups with teams to ensure that pending tasks or work items are completed in a timely manner.

  • Act as a point of contact for resolving process-related issues, coordinating efforts between departments to find solutions.

  • Work with teams to expedite the completion of pending work, ensuring no backlog develops in key processes.

  • Identify recurring issues and work with relevant departments to implement corrective measures or process improvements.

6. Process Tracking and Monitoring:

  • Track the progress of assigned tasks and projects, ensuring they adhere to set timelines and deadlines.

  • Monitor ongoing processes to identify bottlenecks or inefficiencies and recommend process adjustments.

  • Maintain logs of process-related activities, ensuring that all updates are logged for future reference.

  • Ensure all tasks are completed in compliance with company policies and industry regulations.

7. Continuous Improvement:

  • Assist in identifying opportunities for process improvement, suggesting changes to enhance efficiency or reduce costs.

  • Contribute ideas for improving business processes, streamlining workflows, and enhancing team collaboration.

  • Participate in regular meetings with process owners to discuss challenges and propose enhancements.
