Job Description
Key Responsibilities:
1. Project Planning and Scheduling

Assist the Project Manager in developing project timelines, milestones, and work breakdown structures.

Coordinate the scheduling of project activities, meetings, and deadlines.

Update and track project schedules, ensuring tasks are completed on time.

Monitor project timelines and proactively flag potential delays or issues to the Project Manager.
2. Documentation and Reporting

Maintain project documentation, including contracts, progress reports, meeting minutes, and deliverables.

Prepare and distribute regular project status reports to stakeholders, tracking progress, risks, and issues.

Assist with creating and maintaining project budgets, tracking expenses, and ensuring financial records are up to date.

Assist in preparing project proposals, project plans, and resource allocation documents.
3. Communication and Coordination
-
Act as the primary point of contact for internal teams, clients, and external vendors.

Organize and attend project meetings, ensuring all stakeholders are kept informed of project progress and updates.

Facilitate communication between various departments and ensure timely follow-up on project actions.

Manage project-related inquiries and provide general administrative support to the project team.
4. Resource Management

Coordinate with different departments (HR, IT, procurement, etc.) to secure the resources necessary for project completion.

Track and monitor resource utilization, ensuring that the right people and equipment are available when needed.

Help resolve resource conflicts or issues and escalate as necessary.
5. Risk and Issue Management

Monitor project risks and issues and assist in the development of mitigation plans.

Report on project status, identifying potential risks or deviations from the plan.

Support the Project Manager in managing the escalation of critical issues or delays.
6. Budget and Cost Control

Assist the Project Manager in maintaining project budgets and tracking expenses.

Help prepare and review project invoices, ensuring they align with the approved budget and scope.

Monitor project expenditures and provide regular reports on budget status.
7. Quality Control and Process Improvement

Ensure that project deliverables meet quality standards and specifications.

Assist in quality assurance testing and monitor project progress to ensure compliance with requirements.

Provide suggestions for process improvements, aiming to enhance efficiency in project management activities.
