Job Description
Key Responsibilities:

Procurement Support:

Assist the purchasing team in sourcing materials and products from suppliers.

Send inquiries to suppliers and vendors for quotations and availability.

Prepare and maintain a list of preferred suppliers and evaluate new suppliers.

Order Processing and Management:

Create purchase orders and ensure proper documentation for all procurement transactions.

Track and follow up on orders to ensure timely delivery.

Maintain and update order status records, ensuring accuracy in the procurement system.

Supplier Coordination:

Communicate regularly with suppliers to confirm product availability, pricing, delivery dates, and quality.

Resolve any issues related to supply delays, quality discrepancies, or order errors.

Build and maintain strong relationships with vendors to negotiate better deals and ensure smooth transactions.

Inventory Control:

Assist in monitoring inventory levels and stock replenishment.

Help conduct regular inventory checks and audits to maintain accurate stock levels.

Coordinate with the warehouse team to ensure that purchased goods are received and stored correctly.

Documentation and Reporting:

Ensure all purchasing documents, such as purchase orders, invoices, and contracts, are filed and stored properly.

Maintain records of all transactions and generate reports for the purchasing department.

Assist in preparing purchase summaries and cost analysis reports for the management team.

Compliance and Quality Control:

Ensure that all procurement activities adhere to company policies, legal regulations, and ethical standards.

Help verify that products meet the company’s quality standards before finalizing purchases.

Ensure timely processing of purchase returns, if required, and follow up with vendors for replacements or refunds.

Cost Management:

Assist in monitoring and managing procurement costs, ensuring they are within budget.

Look for cost-saving opportunities and suggest improvements in the procurement process.

Compare prices from different suppliers to ensure the best deals are obtained.
