A Purchasing Assistant supports the procurement department by managing purchase orders, maintaining supplier relationships, tracking deliveries, and updating inventory records to ensure cost-effective operations. Key duties include processing invoices, verifying received goods, researching vendors, and ensuring compliance with company policies.

Key Responsibilities and Duties

  • Order Processing: Prepare, place, and track purchase orders (POs) for goods and services.

  • Vendor Management: Maintain relationships with suppliers, negotiate terms, and resolve discrepancies in deliveries or invoices.

  • Documentation & Data Entry:

    Update purchasing records, databases, and spreadsheets with accurate info on prices, inventory, and suppliers.

  • Inventory Control: Monitor stock levels and assist with inventory audits to ensure adequate supplies.

  • Administrative Support: Assist the purchasing manager with daily operations, reports, and, in some cases, travel arrangements.
