Job Description
Greet and welcome visitors in a professional and friendly manner.
Answer, screen, and forward incoming phone calls.
Manage the reception area to ensure it is tidy, presentable, and well-stocked.
Handle inquiries from clients, vendors, and staff promptly and courteously.
Key Responsibilities
1. Front Desk Management

Welcome and greet visitors in a polite, professional, and friendly manner.

Answer inquiries from clients, guests, and walk-in visitors.

Direct visitors to the appropriate department or staff member.

Maintain a clean and organized reception area to create a positive first impression.

Ensure the availability of brochures, business cards, and other company-related information at the front desk.
2. Handling Incoming & Outgoing Calls

Answer all incoming calls promptly and professionally.

Transfer calls to relevant departments or personnel.
-
Take accurate messages and ensure timely delivery to concerned staff members.

Make outgoing calls for appointment confirmations, meeting scheduling, or follow-ups as required.
3. Appointment Scheduling & Coordination

Manage the company’s appointment calendar efficiently.

Schedule meetings, interviews, and client appointments as per company policies.

Send reminders to concerned parties for upcoming appointments.

Coordinate with other departments to avoid scheduling conflicts.
4. Visitor & Client Management
-
Register visitor details and maintain accurate records in the visitor logbook.

Issue visitor passes and ensure security protocols are followed.

Assist clients and guests with required information or documents.

Provide beverages, refreshments, or other assistance when required.
5. Administrative Support
-
Handle basic office correspondence, emails, and inquiries.

Maintain inventory of front-office supplies and place orders when needed.

Assist in managing courier services, postal deliveries, and office dispatches.

Prepare reports and documents as requested by management.

Support HR and admin teams with onboarding new employees, ID card processing, and other clerical duties.
6. Record-Keeping & Database Management

Maintain updated contact lists of employees, clients, and vendors.

Keep attendance records if required by the management.

Update client databases with accurate information after meetings or interactions.

Assist with documentation for audits and compliance if necessary.
7. Coordination with Management & Staff

Act as a communication link between management, employees, and visitors.

Coordinate meeting room bookings, conference setups, and event arrangements.

Support senior management by organizing schedules and providing reminders.
Required Skills and Competencies
Technical Skills

Basic proficiency in MS Office (Word, Excel, PowerPoint).

Familiarity with email management systems and telephone consoles.

Knowledge of appointment scheduling tools or office management software is an advantage.
