Job Description

Job Summary:

We are looking for a warm, organized, and well-spoken Receptionist to join our team. The receptionist will serve as the first point of contact for all visitors, clients, and callers, and will be responsible for managing the reception area, handling phone calls, scheduling appointments, managing basic administrative tasks, and assisting with front-office coordination.

The ideal candidate should have good communication skills in Marathi, Hindi, and English, a basic working knowledge of computers, and a pleasant personality. This role requires multitasking, attention to detail, and the ability to handle interactions with professionalism and care.

Key Responsibilities:

1. Visitor Management

  • Greet and welcome visitors with a friendly and professional attitude.

  • Maintain a visitor logbook, issue visitor passes, and inform appropriate personnel of guest arrivals.

  • Ensure guests are comfortable and attended to while waiting.

  • Direct visitors to the appropriate meeting rooms or staff members.

2. Telephone & Communication Handling

  • Answer incoming phone calls promptly and route them to the correct department or staff member.

  • Take accurate messages and forward them via email or internal communication tools.

  • Make outgoing calls as instructed for appointment confirmations or general follow-ups.

  • Handle WhatsApp messages, emails, or SMS communication for inquiries.

3. Front Office Administration

  • Maintain the cleanliness and appearance of the reception area.

  • Keep magazines, brochures, or marketing materials up-to-date and neatly arranged.

  • Monitor office supplies and request replenishment when necessary (stationery, pantry items, etc.).

  • Coordinate with the housekeeping staff to maintain front office hygiene.

4. Appointment Scheduling

  • Maintain and manage appointment calendars for staff, managers, or meeting rooms.

  • Schedule and confirm meetings with clients, visitors, or service vendors.

  • Notify relevant staff of upcoming appointments or changes to the schedule.

5. Mail and Courier Management

  • Receive and sort incoming mail, packages, and courier deliveries.

  • Dispatch outgoing documents and packages through appropriate courier services.

  • Record all inbound and outbound deliveries in the register or tracking system.

6. Administrative Support

  • Assist HR or Admin teams with basic tasks like printing, scanning, data entry, or recordkeeping.

  • Help in preparing reports, maintaining attendance sheets, or collecting employee documents when requested.

  • Support other departments in small tasks or errands during downtime.

7. Emergency & Security Protocols

  • Report any unusual visitor behavior or security concerns to the supervisor or management.

  • Ensure that emergency contact numbers and protocols are visible and accessible at the front desk.

  • In case of an emergency, assist in guiding visitors or employees calmly and safely.

Required Qualifications:

  • Good communication skills in Marathi, Hindi, and English (both spoken and written)

  • Basic computer knowledge – MS Word, Excel, email, printing, and typing

  • Familiarity with phone systems, intercom, and office equipment (scanner, copier)
