Senior Admin Officer – Admin Operations & Magic Miles Management (Company Fleet)
Department :- Administration
Reporting To :- Admin Manager
Role Purpose
The Senior Admin Officer will be responsible for ensuring seamless administration and facility operations while managing the organization's Magic Miles Company Fleet Management. The role requires end-to-end ownership of assigned responsibilities, strong coordination across stakeholders, data-driven decision making, and continuous process improvement to enhance operational efficiency and associate experience.
Approximately 60% of the role will focus on Facility & Administration Operations and 40% on Magic Miles (Fleet Management).
Key Responsibilities
Facility & Administration (60%)
Manage day-to-day administration and facility operations to ensure smooth functioning of the office.
Coordinate with housekeeping, security, pantry, maintenance, and other service partners to maintain agreed service levels.
Manage vendor performance through regular reviews, SLA monitoring and timely issue resolution.
Handle PR/PO coordination, invoice verification and support budget tracking activities.
Maintain statutory records, service agreements and support internal/external audits.
Drive workplace improvement initiatives to enhance associate experience.
Prepare and maintain dashboards, MIS reports and management presentations.
Take ownership of assigned projects and ensure timely execution.
Identify opportunities for process standardization, automation and cost optimization.
Coordinate infrastructure maintenance, repairs and facility improvement projects.
Manage regular Audit and keep documentation/data maintain on regular basis.
Magic Miles / Fleet Management (40%)
Manage end-to-end Magic Miles operations including vehicle booking coordination and allocation.
Coordinate with transport vendors and drivers to ensure timely vehicle availability.
Monitor vehicle utilization and identify optimization opportunities.
Track servicing schedules, insurance, permits, FASTag, GPS and statutory compliances.
Validate transport bills and support timely invoice processing.
Prepare fleet utilization reports, cost analysis and operational dashboards.
Ensure high service standards and quick resolution of transportation-related issues.

Qualification

Experience
4–7 years of experience in Administration, Facility Management, Corporate Services or Fleet Operations.
