Job Description
Job Summary
We are looking for a proactive and detail-oriented Warehouse Incharge to manage all warehouse activities including inventory control, vendor coordination, order management, dispatch supervision, and quality assurance. The ideal candidate should be capable of handling both physical and digital aspects of warehouse operations — from stock movement to system updates and vendor communication.
The role requires a strong sense of responsibility, knowledge of warehousing principles like FIFO (First-In-First-Out) and LIFO (Last-In-First-Out), and the ability to work independently and efficiently.
Key Responsibilities
Inventory & Stock Management

Maintain accurate inventory records of raw materials, finished goods, and supplies.

Implement and monitor FIFO/LIFO stock rotation as per product requirements and shelf life.

Conduct regular stock counts (daily/weekly/monthly) and ensure physical and system records match.

Identify stock shortages, excesses, or slow-moving items and report accordingly.
Vendor Coordination & Procurement

Place orders with approved vendors and follow up on delivery timelines.

Check product quality, expiry dates, and packaging condition upon receipt.

Maintain records of vendor bills, GRNs (Goods Receipt Notes), and inward registers.

Raise discrepancies or quality issues with vendors and coordinate returns/replacements if needed.
Dispatch & Logistics Coordination

Supervise and coordinate the dispatch of goods to clients or other branches.

Ensure proper packaging, labeling, and documentation before dispatch.

Maintain dispatch records, invoices, and transporter details for tracking.

Ensure timely loading/unloading and transportation coordination.
Quality Control

Perform quality checks on incoming and outgoing materials – including visual inspection and expiry verification.

Flag any damaged, expired, or unfit stock immediately to supervisors.

Ensure hygienic and safe storage practices to prevent product deterioration.
System & Documentation

Maintain inventory and warehouse management software or ERP systems accurately.

Update all inward/outward stock movement, purchase orders, and dispatch logs in real-time.

Generate reports on stock levels, expiry dates, damage/loss, and reorder needs.

Handle email correspondence with vendors, transporters, and internal departments for day-to-day operations.
Bills & Accounts

Maintain vendor bills, purchase records, and cost data related to procurement.

Assist accounts/finance team in reconciling warehouse-related expenses and inventory valuation.

Ensure proper filing of all warehouse documents for audit and compliance.
